About the role

  • Ruby Digital is looking for an Agency Coordinator to join our team, to primarily assist in the People and Culture division with administrative tasks, as well as the Finance division with basic accounting and/or financial administration, including but not limited to events and travel coordination in the company.
  • You will be joining the People and Culture team in an administrative position, reporting into the HOD People and Culture.
  • To be successful in this role you should have excellent multi-tasking skills, maintain a high level of professionalism, and execute all your tasks with an eye for detail.
  • This is a remote role and must be in South Africa, ideally Cape Town.

Responsibilities

This person will primarily fulfil various administrative functions, at different levels in the company activities listed below.

Payroll & HR Administration Management

  • Completion of internal documents and sending it on for signature. Sending signed documents to relevant division and file accordingly.
  • File and platform management – ensuring that all electronic files are organised, up to date and accessible to all team members on SharePoint.
  • Record keeping. (Updating of internal SOP’s, maintaining up to date and accurate records and processes, contracts and client information and documents such as SLA’s, NDA’s, etc.)
  • Complete tasks in line with priorities and due dates set out by Team Leader & HOD.
  • Assisting Exco with ad-hoc administration tasks.

Events & Travel Coordination

  • Drive Ruby culture activities
  • Planning of social events and functions within budget
  • Resourcing of gifts for clients and employees
  • Managing long service awards
  • Managing of staff clothing
  • Managing travel arrangements, including booking of flights, accommodation and conference or meeting rooms
  • Managing staff anniversaries and celebrations

Attributes & Requirements

  • Your own laptop/desktop computer that meets minimum specifications as defined by Employment Contract
  • Excellent written and interpersonal communication skills
  • Awesome organisational skills
  • A willingness to take ownership of the work
  • Strong work ethic and self-starter
  • Computer literacy (Microsoft Word/Google Docs and Excel/Google Sheets)
  • Experience in an agency environment
  • Ability and passion to educate and share industry knowledge with less experienced team members
  • Demonstrate resourcefulness and the initiative to lead advanced projects

Education

  • At least 3 years’ experience in administration
  • Diploma or certificate in Human Resources, Accounting, Bookkeeping

Job Type
